The Payroll Security Audit Checklist: 23 questions auditors ask about CSV files

Ask a payroll team who opened last month's payment file between the HRIS export and the bank upload, and most can give you a rough answer. Ask them to prove it, with timestamps, and the room goes quiet.

That is one of the first questions an auditor puts to payroll during a SOC 2 readiness assessment. For teams running pay through CSV exports, spreadsheet edits and bank portal uploads, it tends to be the first of several gaps.

This checklist collects 23 of those questions, drawn from the controls SOC 2, ISO 27001 and GDPR auditors examine in payment workflows. Each one asks what you can evidence. A bank portal password that "only three people know" fails. A system-generated access log with user IDs and timestamps passes.

Six risk domains

The questions are grouped into access control and authentication, data integrity and validation, audit trail and traceability, segregation of duties, encryption and data protection, and exception handling and payment status. Access control and segregation of duties carry the most weight, because a "no" in either usually turns into an audit finding.

Scoring your answers

Mark each question yes, partial or no, then count your gaps by domain. Teams with three gaps or fewer can usually close them with tactical fixes. At 16 or more, the scoring points to replacing the file-based workflow instead of adding controls around it. Most payroll teams working from CSV files score between 10 and 18.

You also get a one-page scoring summary to brief compliance and finance leadership, and a table showing which evidence auditors accept and which they reject.
